Your invitation to the HarbourVest General Partner Forum, and subsequent registration, is non-transferable unless approved by HarbourVest. If you have confirmed your registration and cannot attend, please contact the Event Coordinator, Mary Hart, at mhart@harbourvest.com or +1 617 348 8333 to obtain our consent to transfer or request to cancel your participation.

Due to strict cancellation policies from the Resort and Destination Management Companies, once your registration is confirmed and payment has been received, we cannot guarantee any partial reimbursement of services not used. If you are unable to attend, every attempt will be made to replace your reservation slot with a different attendee so that your deposit may be returned. Events affected by inclement weather may be rescheduled, or you may request a full refund. Refunds will be made after thorough review of the final invoice by HarbourVest’s Accounts Payable team, and in the case that a refund is owed to you, the Event Coordinator will confirm with you that we can issue the refund in the manner in which we received the original payment for event participation.

All information provided to HarbourVest during the registration process in connection with the General Partner Forum (excluding payment information) is governed by the HarbourVest Privacy Policy below. We may use your information to support your participation in the Forum, including publishing your name and contact information (upon request and your approval) on a list of event attendees. This document will be distributed and available only to the HarbourVest team and GPs onsite.

You acknowledge and agree that the activities and accommodations at the General Partner Forum are all provided by third party independent contractors and such contractors (and not HarbourVest) are solely responsible for, and liable with respect to, such activities and accommodations. The matters discussed and the materials distributed at the General Partner Forum are highly confidential and may include material non-public information. By attending the General Partner Forum, you agree to keep such discussions and materials strictly confidential and not to use any such information to the detriment of HarbourVest or share such information with third parties.

By attending the General Partner Forum, you hereby release and hold harmless HarbourVest and its affiliates and their respective agents, partners, officers and members from and against all claims, demands, liabilities, causes of action, suits, judgments, damages and expenses (including attorneys’ fees) arising from any loss incurred in connection with your attendance at the General Partner Forum, whether or not the loss is to you personally or your property or the person or property of your guest and whether or not due to any oversight, omission, neglect or negligence of HarbourVest or any person or entity acting on HarbourVest’s behalf.

We consider privacy to be fundamental to our relationship with our limited partners, separate account clients and other clients for whom we provide services. We are committed to maintaining the confidentiality, integrity and security of our current and former clients’ non-public information. Accordingly, we have developed internal policies to protect confidentiality while allowing the needs of our clients to be met.

We respect your right to privacy. We also know, however, that you expect us to conduct our investment programs in an accurate and efficient manner. To do so, we must collect and maintain certain non-public information about you and our other clients. We collect this information from sources such as subscription agreements and other forms completed or authorized by you and from your transactions with us, our affiliates or third parties.

We will not disclose any non-public personal information about our clients who are natural persons, except (a) as necessary for the funds or separate accounts in which natural persons invest to make investments, (b) as necessary for those funds or separate accounts to process transactions with counterparties, and (c) as permitted or mandated by applicable federal, state, or local laws. Thus, for example, we may disclose non-public personal information about a client that is a natural person to (i) securities broker-dealers, placement agents, and other service providers to the funds or separate accounts in which the natural person invests in connection with the performance of services by such service providers on behalf of the funds or separate accounts, as the case may be; (ii) the other limited partners in the funds in which the natural person invests, as mandated by applicable federal or state laws; or (iii) to regulatory or law enforcement agencies to comply with anti-money laundering, anti-terrorism, tax, or other regulatory or legal requirements.

In the normal course of serving our limited partners and separate account clients, information we collect may be shared with companies that perform various services for the funds and separate accounts, such as our accountants, tax specialists, attorneys, or broker-dealers that assist us with the distribution of stock to our investors. Specifically, we may disclose to these service providers non-public personal information including: Information we receive on subscription agreements, investor questionnaires, tax questionnaires, or other forms, such as name, address, account or social security or tax identification number and the types and amounts of investments; Information about your transactions with us, our affiliates or others, such as participation in each of our funds, your capital account balances, contributions and distributions or other account data; and Information we receive from third parties providing services to you.

Any party that receives this information will use it only for the services required and as allowed by applicable law or regulation, and is not permitted to share or use this information for any other purpose. To protect the personal information of natural persons, we restrict access to your personal non-public information to authorized employees who need access to that information to provide services to the funds and their limited partners and separate accounts and their owners. We maintain physical, electronic and procedural safeguards that are designed to comply with U.S. federal standards to guard your non-public personal information. An individual client’s right to privacy extends to all forms of contact with us, including telephone, written correspondence and electronic media, such as the Internet.
